Position description
Refugees International (RI) seeks a Special Assistant/Executive Assistant to support the RI President. The position is for a one-year term, which may be renewable. RI strongly encourages applications from candidates with diverse backgrounds and experiences.
For nearly 40 years, RI has served as an advocacy organization on behalf of the rights of refugees and displaced persons, and in support of the principles of international humanitarianism. Based on reporting that results from fact-finding missions around the world, RI seeks to educate and influence the U.S. Administration and members of Congress, other governments, regional and international organizations like the European Union and the United Nations, and the general public. RI seeks to fill the Special Assistant/Executive Assistant position as soon as possible.
Duties and Responsibilities
- Provide executive-level support to the President.
- Manage the President’s calendar by scheduling his involvement in meetings, conference calls and other appointments; arrange travel and accommodations as required.
- Identify priorities for the President’s attention and handle confidential information with discretion.
- Manage information flow to the President, processing correspondence and screening and responding to phone calls on behalf of the President and the organization.
- Conduct research as needed on regional and functional issues relating to humanitarianism and human rights.
- Assist and advise the President in his preparation of statements, articles, blog posts, etc.
- Represent the President and the organization with outside stakeholders engaging with the office of the President, with an ability to articulate the mission and perspectives of RI.
- Assist the President with administrative tasks, including expense reimbursements, monthly credit card reconciliation, copying, faxing, mass mailings, filing, data entry and ordering supplies.
- Record and disseminate minutes from all-staff and management team meetings.
- Participate in staff searches in order to represent the President’s interests throughout the selection process.
- Arrange logistics for conferences, meetings, and other events, and assist members of the management team with setting up calls/meetings and other administrative tasks.
- Set up board committee calls and organize both of RI’s regular in-person board meetings.
- Prepare and proofread letters and other kinds of correspondence.
- Travel as needed on missions and for events that involve the President (when circumstances permit).
- Identify important issues within or outside the organization and bring them to the attention of the President.
Qualifications
The successful applicant must have a bachelor’s degree; a commitment to the mission of RI; excellent writing and editing skills; an ability to maintain a high level of confidentiality and discretion and to maintain a courteous and professional manner at all times; strong attention to detail; flexibility and ability to multi task; excellent interpersonal, communication, organizational, and relationship-building skills; an ability to work independently; a strong work ethic; and an ability to manage both paper and electronic files. This position requires the exercise of discretion and independent judgment and directly affects the general operations of RI. Accordingly, the applicant is expected to be able to make decisions affecting the priorities of the President and the organization with minimal oversight or supervision. Because the responsibilities are so varied, prior relevant administrative, research and engagement experiences are desirable.
Salary: $35,000 to $50,000 depending on background and experience.
